Privacy Policy
Transportation Feedback Form · Effective October 30, 2026
The short version: We use what you send us only to review and respond to your transportation feedback and to keep students safe. We never sell your information, and we do not share your name, email address or phone number with anyone outside Fairfield Public Schools, except the limited cases the law requires, which are explained below.
1. Who we are
This form is run by the Fairfield Public Schools Transportation Department in Fairfield, Connecticut ("the district", "we", "us"). This policy covers only the transportation feedback form and the emails it sends. Other district websites and services have their own privacy notices.
2. Information you give us
When you submit the form, we collect:
- Your feedback: what it's about, the incident date and time, and the details you write.
- About you: your name, email address, phone number, your role (for example, parent or community member), city, state and zip code.
- School and bus: the school and bus or route number, if you give them.
- Your choices: whether you'd like us to contact you, and that you accepted the Terms of Use.
Please include only the personal details needed to explain what happened.
3. Information collected automatically
To protect the form from abuse and to help us investigate problems, we also record technical information about each submission:
- The date and time of your submission, and how long the form was open.
- Your IP address and the internet provider it belongs to.
- Approximate location based on your IP address (country, state, city, zip code and time zone). This is not your exact address, and we do not use your device's GPS.
- Your browser and device type, language, screen and window size, and time zone.
- Technical details of your connection, including the web request headers your browser sends (we do not keep cookies or passwords), and the page you came from.
- The result of the automated security check described in section 9.
4. How we use your information
- To read, investigate and respond to your feedback.
- To contact you about your feedback, if you asked us to or if we need more information.
- To send you a confirmation email with your reference number.
- To keep students safe and improve transportation service, including looking at trends by school, route or type of concern.
- To prevent spam, fraud and misuse of the form.
- To meet our legal obligations.
We do not use your information for advertising or marketing, and we do not add you to any mailing list.
5. Who can see your information
Fairfield Public Schools employees
Your submission is sent to the Transportation Department. Other district employees, such as school administrators, may see it when they need to in order to respond or keep students safe.
We never sell your information
We do not sell, rent or trade your information, and we do not share your name, email address or phone number with anyone outside Fairfield Public Schools, except as listed below.
Our bus contractor
To look into a problem with a bus, driver or route, we may share the details of the incident, such as the date, time, school, bus or route number and what happened, with the district's student transportation contractor. We do not give the contractor your name, email address or phone number unless you ask us to.
Service providers that run this form
The form, its database and its emails run on Cloudflare, Inc. Cloudflare stores and delivers this information for us so the form can work. It does not decide how the information is used, and it is not permitted to use it for its own purposes.
When the law requires it
- Emergencies and safety: we may share information with police or emergency services when we believe it is needed to protect someone's health or safety.
- Legal requirements: we may disclose information when required by law, such as a court order or subpoena.
- Public records: as a public school district, our records may be requested under the Connecticut Freedom of Information Act. We apply every exemption the law allows, including those that protect students' records and personal contact information.
6. Information about students
If your feedback includes information about a student, we protect it as required by the federal Family Educational Rights and Privacy Act (FERPA) and Connecticut's student data privacy laws.
7. How long we keep it
We keep submissions as long as we need them to respond and follow up, and as long as Connecticut's records retention rules for public agencies require. After that, they are deleted.
8. How we protect it
- Everything you send travels over an encrypted (HTTPS) connection.
- Only authorized district staff can see submissions.
- An automated security check and submission limits help keep out spam and abuse.
No system is perfectly secure, but we take reasonable steps to protect your information.
9. Cookies and the security check
The form's own pages do not set cookies and do not use advertising or analytics trackers.
To make sure submissions come from people and not automated programs, the form uses Cloudflare Turnstile. It runs in your browser and looks at technical signals from your browser and device. Cloudflare explains what it collects in its Turnstile Privacy Addendum.
10. Your choices
- You choose what to include in your feedback. Name, email address and phone number are required so we can follow up and send your confirmation.
- You can ask to see the information we have from your submission, ask us to correct it, or ask us to delete it. We will do so unless the law requires us to keep it. Please include your reference number.
11. Children
This form is meant for parents and guardians, district and contractor staff, and community members. Students under 13 should ask a parent or guardian to submit feedback for them.
12. Changes to this policy
If we change this policy, we will post the new version here and update the effective date at the top.
